49.4 Maintaining Cash Receipts

If a detail line needs to be changed, first QUERY and FIND the cash receipt. Then press the NEXT <F7> button to display the detail form. QUERY and FIND the appropriate detail line. Press the UPDATE button <F4> to make the changes. Press the STORE button <F5> to store the record.

A cash receipt can be deleted if the receipt has not yet been deposited in the bank. QUERY and FIND the cash receipt as described above. Press the DELETE button, (GOLD <F1> key and then press the D key) to delete the top part of the receipt. Press the NEXT <F7> button to display the detail form. FIND and DELETE each detail of the cash receipt by first pressing the FIND NEXT <F3> button and then pressing the DELETE button, (GOLD <F1> key and the D key).

As you can see, maintaining the cash receipt files involves using the QUERY and FIND functions to access the individual cash receipt records. The QUERY and FIND functions search for records in the file by starting at the beginning of the file and proceeding to the end of the file. When the QUERY button <F2> is pressed the first record in the file that matches the search pattern is being queried. When the FIND NEXT button <F3> is pressed the next record in the file that matches the search pattern is displayed.

If the cash receipts file is very large you may want to start your search for a particular cash receipt record at the end of the file. The QUERY function can be made to start its search with the last matching record by pressing the FIND LAST button, (GOLD key <F1> before pressing the QUERY <F2> key). This means that the last record in the file that matches the search pattern is queried.

The direction of the FIND function's search can also be reversed if the FIND PREVIOUS button (GOLD key <F1> is pressed just before pressing the FIND <F3> key). As was explained above, each time the FIND NEXT button <F3> is pressed, the next record in the file that matches the search pattern is displayed. By pressing the FIND PREVIOUS button, (GOLD key <F1> before pressing the FIND <F3> key) the direction of the search is reversed and the previous matching record is displayed. The GOLD <F1> FIND <F3> keys and the FIND <F3> key can be used to move back and forth in the file.
