4.2 Field Descriptions

Date

Enter the date the order is being opened in this field. If you just press RETURN, the current date is entered as a default value. The date can be entered in any of the following formats:

mmddyy mmddyyyy (mm = 2 digit month number)

mm-dd-yy mm-dd-yyyy (dd = 2 digit day number)

mm.dd.yy mm.dd.yyyy (yy = 2 digit year number)

mm/dd/yy mm/dd/yyyy (yyyy = 4 digit year number)

ddmonyy ddmonyyyy (mon = 3 letter month

dd-mon-yy dd-mon-yyy abbreviation)

dd.mon.yy dd.mon.yyyy

dd/mon/yy dd/mon/yyyy

However, when a key is pressed to exit the field, the entry is reformatted in the mm/dd/yy format. For example, 8.Jan.85 is reformatted as 01/08/85. Input to this field is required.

Order Number

Each order in the Order Entry System must be assigned a unique number or code to identify it within the system. Each order code can be used only once. If a code is entered that is already in use, the

Record already exists

message is displayed at the bottom of the screen when an attempt is made to store the duplicate entry. The code may be any combination of letters and numbers up to fifteen characters. However, the order number must end in a numeric sequence if the automatic numbering option is used. (For information on this option and how to select it, see Chapter 14, Modifying Order Entry.) Input to this field is required.

Customer No.

The value entered in this field is one of the unique codes used to identify the customers in the Customer master file. If the code entered does not identify a record in the Customer master file,

flashes in the bottom right corner of the screen. If you are having trouble finding a valid customer code, a second screen is provided for searching the Customer master file. The screen is displayed by pressing the GOLD <F1> key and then the V (Validate) key. This allows you to QUERY <F2> and FIND <F3> the desired customer. After the customer has been found, pressing the GOLD <F1> key and then the E key returns you to the order screen with the customer code filled in. Input to this field is required.

Customer Name

After the customer number is entered and the RETURN key pressed, the full customer name appears in this field. This is a display only field.

Customer P.O.

Enter the customers purchase order number, if there is one, in this field. Input to this field is optional.

Credit Limit

The amount displayed in this field is the credit limit for the customer. This value is stored in the Customer master file.

Acct Balance

The customers current balance is displayed in this field. The balance includes all invoices and receipts entered for the customer to date. This is a display only field, which means this screen cannot be used to update data in this field.

Total Orders

This amount represents the value of all orders placed by this customer. The value of the current order is added to this total when the order is stored. This field is decreased when the order is filled.

This Order

The total dollar amount of this order is displayed here once all the detail lines have been entered and the order is stored in the file. Because this is a display only field, information in this field may not be changed by the user.

Sales Rep.

This field allows sales by sales representative to be tracked. Enter one of the unique sales representative codes that identify the records in the Sales Representatives master file. Sales representative master records are entered using the Sales Representatives option on the Select, Order Entry Menu. The Order Entry System will not accept any code not previously entered in the Sales Representatives master file.

If you are having trouble finding a valid sales representative code, a second screen is provided for searching the Sales Representatives master file. The screen is displayed by pressing the GOLD <F1> key and then the V (Validate) key. This allows you to QUERY <F2> and FIND <F3> the desired sales representative. After the sales rep. has been found, pressing the GOLD <F1> key and then the E key returns you to the order screen with the sales rep. code filled in. Input to this field is optional.
