20.3 Accessing Product Inventory Balances

The purpose of this selection is to allow you to look at the Inventory Product balances for any accounting year. The ADD, UPDATE, and DELETE functions cannot be used with this screen. To QUERY a product, press the QUERY <F2> button. Then enter the accounting year and the product code. Press the FIND <F3> button.

As an example, to see the 1983 ending balances for the product nails, first press the QUERY <F2> button. Then enter 1983 into the Year field and enter nails into the Product field. Press the FIND <F3> button, and the 1983 record for nails is displayed as shown below.

The above screen shows the ending balances for periods one through three. At the end of the first period, there were 100 units of nails in inventory for a total value of $30.00. By the end of the second period, there were 200 units of nails at a value of $60.00. The ending balance for the third period was 50 units of nails at a value of $15.00.

If you have a very large inventory file, you may save access time by using the QUERY and FIND functions in different ways depending on the position of the record in the file.

The QUERY and FIND functions search for records in the file by starting at the beginning of the file and proceeding to the end of the file. When the QUERY button <F2> is pressed the first record in the file that matches the search pattern is being queried. When the FIND NEXT button <F3> is pressed the next record in the file that matches the search pattern is displayed.

The QUERY function can be made to start its search with the last matching record by pressing the GOLD key <F1> before pressing the QUERY key <F2>. This means that the last record in the file that matches the search pattern is queried.

The direction of the FIND functions search can also be reversed if the GOLD key <F1> is pressed just before pressing the FIND key <F3>. As was explained above, each time the FIND key <F3> is pressed, the next record in the file that matches the search pattern is displayed. By pressing the GOLD key <F1> before pressing the FIND key <F3> the direction of the search is reversed and the previous matching record is displayed. The GOLD <F1> FIND <F3> keys and the FIND <F3> key can be used to move back and forth in the file.
