33.4 Under/Over Shipments

A receiving slip created by the automated process must be edited if only a partial shipment is received for an order. Later on, when the rest of the shipment is received, the process creates an additional receiving slip for the order.

Receiving slip rs0406-03 records the receipt of purchase order po0401-03. Although 5 computer terminals were ordered, only 3 were shipped. Since this is a non-inventory item, receiving slip rs0406-03 is edited using the menu choice, Non-Inventory Receiving Slips, on the Data Entry, Receiving menu. As with editing receiving slips for inventory purchase orders, the changes made on a receiving slip for a non-inventory order are made on the detail screen. The receiving detail screen for a non-inventory item is different from the receiving detail screen for an inventory item. The detail screen for rs0406-03 is displayed below.

Since this screen is not for an inventory item, it does not display the inventory information, product code, U/M, or inventory units. If the item was specified as taxable on the purchase order, a tax amount is displayed.

Continuing our example, the Units field and the Freight field on the detail item screen are edited to reflect the actual shipment.

These changes cause the Extended Price, Tax, and Total fields to be decreased. The Freight field was manually decreased.

The total screen is updated and stored to reflect the decreased total.

The receiving slip, rs0406-02, on the report represents an over shipment. The purchase order, po0401-02, specified 12 vendor units of product 01c015. Fifteen vendor units of product 01c015 were received. All 15 units were accepted. Receiving slip rs0406-02 is accessed through menu choice Receiving Slips. The header screen is displayed below.

The Units field on the detail item screen must be edited. The detail item screen is shown.

The Vendor Units field is increased to 15. This change causes the Extended Price, Total, and Inventory Units fields to be recalculated as shown below.

Lastly, the total screen is updated to reflect the increased amount.
